The Northern California Youth Rugby Association (NCYRA), a 501(c)3 California non-profit corporation established in 2010 for the purposes of developing, promoting and managing youth rugby in Northern California, is seeking a fulltime Executive Director (ED) to lead, manage and represent the interests of the NCYRA. The NCYRA currently has over 5,200 players (ages 8 to 18, male and female), coaches, administrators and referees, all organized on approximately 70 Clubs, with over 220 Teams competing in 25 Conferences in 18 Divisions across Northern California. Almost all coaches and administrators are volunteers. The association currently has twelve (12) active NCYRA Committees. The association is currently being managed by a part-time ED and a part-time Administrative Assistant. The ED essentially works for the Board of Directors, a group of approximately 25 elected or nominated representatives from the various Conferences. The ED will interact on a regular basis with the elected NCYRA Officers (President, Vice-President, Treasurer and Secretary). The NCYRA is seeking a flexible, motivated, forward thinking, socially adaptable, self-starting entrepreneur, with drive, perseverance and passion for youth sports and for youth development. The ED will help guide, manage and grow the NCYRA. The NCYRA goal is to double the number of members of the association in five years.
Job Description Position: Fulltime Executive Director (ED)

Proposed start date: December 2013

Location: Dixon, CA (at least initially)
Total Compensation: Between $50,000 and $60,000, depending on experience (includes all benefits and taxes). The pay will be partially performance based with potential future increases based partially on the ability to raise capital through various sources, such as, but not limited to: membership growth, corporate contributions, donations and fundraising.

Position Summary: The ED will be the focal point and primary point of contact for all matters related to the NCYRA. The ED will serve at the pleasure of the Board of Directors, and will regularly interact with the Officers. The ED will be responsible for assisting and providing strategic leadership and implement goals, strategies, plans and policies, as well as administrative functions. In addition to constant interaction with coaches, administrators and referees, the position will also require interface and interaction with local and state organizations, various schools and school districts, other geographic rugby unions/territories, USA Rugby and other affiliated organizations. The selected candidate would be expected to reside in Northern California (the current NCYRA Office is located in Dixon) and provide their own vehicle. All NCYRA travel costs will be reimbursed as agreed upon in the employment agreement. There is no compensation for relocation expenses. The candidate must be available to begin the job December 2, 2013. Continued employment will be based on regular job performance reviews conducted by the Officers.

Qualifications Education: A Bachelor’s degree is preferred, but not required.

Experience: At least three (3) years of experience in business management, business development, supervision of subordinates and/or managing a number of people. Rugby experience as a player, coach or administrator is preferred but not required.

Duties and Responsibilities

  • Provide leadership, direction and management to the association through advancing innovative, creative and insightful programs, policies and procedures and ensure that the mission and core values of the NCYRA are put into practice.
  • Perform a supervisory role to the Administrative Assistant.
  • Regularly update and consult the NCYRA Officers on significant issues.
  • Maintain and enhance a positive image of rugby and overall public appearance as one of the
    primary representatives of the association.
  • Work with NCYRA Consultant Accountant and the NCYRA Treasurer to ensure compliance with
    all budgetary and tax requirements.
  • Assist with establishing the annual budget.
  • Must be proficient in Word and Excel.
  • Correspond with the NCYRA membership, primarily through email, to the various requests and
    demands of the membership and other associates of the NCYRA. This can range between 10
    and 50 emails a day.
  • Provide weekly email updates to the NCYRA coaches and administrators during the season, and
    bi-monthly in the off season.
  • Represent the NCYRA with clients, investors, vendors, business partners and USA Rugby to
    promote rugby and secure the best services possible.
  • Establish, maintain and provide oversight of all programs, Committee activities and all matters of
    the association.
  • Assist Committee Chairpersons in carrying out responsibilities of Committees.
  • Assist with organizing coaches and referee training courses.
  • Assist tournament organizers with organizing and running several tournaments (currently 8
    annually), which could include developing schedules.
  • Create annual Master Season schedule (current template is available)
  • Organize and promote Quarterly Board of Director Meetings.
  • Assist with the NCYRA Quarterly Newsletter, “The Scrumdown”.
  • Assist with annual NCYRA College Seminar.
  • Evaluates and updates policies and procedures and by-laws to maintain 501(c)3 compliance.
    Assists NCYRA Accountant in completing all nonprofit legal and tax filing filings.
  • Responsible for achieving growth, cash flow, and organization goals and objectives.
  • Work with other international rugby organizations and businesses to promote, manage and
    coordinate international tours and exchanges.
  • Spearheads the development, communication and implementation of effective growth strategies
    and processes through outreach for school programs, Rookie Rugby, and work with organizations
    with similar goals.
  • Collaborates with the Officers to develop and implement plans to accommodate the growth
    objectives
  • Possibly interfaces or coordinates with California Interscholastic Federation (CIF) to advance the
    sport of Rugby in High Schools through presentations and relationship building with key people.
  • Oversees discipline, registration and competitions issues at all levels.
  • Assist with referee scheduling and monitoring.
  • Develop materials for new startup clubs, clinics for referee and coaches training and
    development.
  • Provide leadership and direction to raise membership, additional funding, and other sources in
    order to enable the NCYRA to meet financial objectives.
  • Performs other duties as assigned.
